Position Title: Management & Budget Intern

Department: Village Manager’s Office & Finance Department

Reports To: Village Manager and Chief Financial Officer

FLSA Status: Non-Exempt, Part-Time (up to 1,000 hours per calendar year)

Hourly Rate: $20.00/hour

Anticipated Start Date: Early 2026

Position Overview

The Village of Hinsdale is seeking a motivated and detail-oriented Management & Budget Intern to support both the Village Manager’s Office and the Finance Department. This year-round internship offers a unique opportunity to work closely with the Village Manager and Chief Financial Officer on special projects, budget preparation, and organizational initiatives.

The intern will assist with assembling the annual operating and capital budgets, supporting cross-departmental special projects, conducting research and analysis, reviewing and developing policy and procedural documents (including a Purchasing Policy Manual), and helping review and update Village website content to ensure clarity, accuracy, and consistency.

Key Responsibilities

Budget & Financial Support

1.       Assist with development of the annual operating and capital improvement budgets, including updating worksheets and checking data for accuracy.

2.       Compile, organize, and analyze financial and operational data to support budget development, long-range financial planning, and special analyses.

3.       Prepare draft charts, tables, and narrative explanations for inclusion in budget documents, presentations, and internal reports.

4.       Help monitor budget-to-actual results for selected funds or programs and prepare summary updates for management review.

 

Special Projects & Management Support

1.       Support special projects identified by the Village Manager and Chief Financial Officer, which may include policy development, performance measurement, procurement practices, organizational reviews, and financial process improvements.

2.       Assist with researching, drafting, and organizing content for an updated Village Purchasing Policy Manual, including reviewing best practices, applicable regulations, and internal procedures.

3.       Help review, evaluate, and update Village website to improve clarity, usability, and consistency with current practices.

4.       Assist in gathering, interpreting, and organizing information from departments and outside agencies; prepare concise written summaries and recommendations for management.

 

Administrative, Research & Communication Tasks

1.       Assist with drafting correspondence, internal memoranda, agenda materials, policy documents, procedural manuals, presentations, and reports for the Village Manager’s Office and Finance Department.

2.       Conduct background research on municipal best practices, budgeting and finance topics, procurement standards, and emerging issues affecting local governments.

3.       Assist in maintaining electronic document management and recordkeeping systems, ensuring materials are current, well organized, and professionally presented.

4.       Provide support for Village Board and committee materials, including background information, exhibits, and follow-up documentation.

 

Knowledge, Skills, and Abilities

1.       Strong interest in local government management, budgeting, public finance, policy development, or procurement processes.

2.       Strong analytical and writing skills, with the ability to present technical or policy-related information in a clear, organized, and accessible manner.

3.       Proficiency with Microsoft Excel and Word; familiarity with PowerPoint and comfort learning new software applications.

4.       Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.

5.       Professional demeanor and sound judgment, including the ability to handle confidential and sensitive information.

 

Education & Experience

Current enrollment in, or recent completion of, a bachelor’s or master’s program in Public Administration, Public Policy, Political Science, Finance, Accounting, Economics, Business Administration, or a related field.

Prior experience in a municipal or public-sector setting is helpful but not required; relevant coursework or administrative, financial, or research experience will be considered.

 

Work Schedule & Hours

This is a year-round, part-time internship not to exceed 1,000 hours in a calendar year.

A typical schedule during the academic year may be 10–15 hours per week, scheduled Monday through Friday between 8:00 a.m. and 4:30 p.m., based on Village needs and the intern’s academic schedule.

Additional hours may be available during school breaks and summer months, subject to the annual hour limitation.

 

Compensation

Hourly Rate: $20.00 per hour.

This position is paid on an hourly basis and is non-exempt.
