Lincolnshire, IL (population 7,900) The Village of Lincolnshire invites you to join its collaborative and dynamic team as its next Administrative Assistant for the Community & Economic Development Department (CED). CED consists of dedicated professionals working to facilitate seamless planning, zoning, and permitting and construction processes. The Administrative Assistant works with residents, businesses, and development professionals to help make their goals a reality while balancing those goals with the Village’s codes and community standards. The position requires excellent communication and customer service skills; a track record of working with a variety of stakeholders; focus on continuous improvement; the ability to exercise sound judgment and take initiative; strong attention to detail; and openness to cross-training opportunities. The position is fulltime and provides general administrative and office support to CED.
Key Responsibilities:
- Reports directly to the Assistant Village Manager/Community & Economic Development Director.
- Plays a pivotal role in facilitating the day-to-day Building Division functions, including plan reviews, permit processing, and inspection services.
- Collaborates with the CED team, Village Engineer, the Village’s plan review/inspection consultants, local fire protection districts, and other Village departments.
- Prepares meeting minutes, compiles agenda materials, and coordinates advisory board meetings.
- Processes invoices, prepares reports, and performs other administrative functions as needed.
Qualifications and Conditions:
- High school diploma or equivalent and two years of related experience, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Municipal experience preferred.
- Familiarity with construction and/or building permitting process is preferred.
- International Code Council (ICC) Permit Technician Certification, or ability to obtain ICC certification within the first 12-18 months of employment.
- Proficiency with the Microsoft 365 suite, specifically SharePoint, Word, Excel, and Teams.
- Familiarity with the BS&A (an enterprise resource planning/ERP system) and Bluebeam Revu (professional PDF and markup software) is preferred.
- Successful candidate will be required to pass a background check, credit check, and drug screen.
Salary, Benefits, and Work Hours: The salary range for this position is $57,100 – $81,500. Starting salary will be commensurate with educational and professional experience. The Village offers a competitive benefits package including paid time off; medical, dental, and life insurance; and membership in the Illinois Municipal Retirement Fund (IMRF). Residency is not required. This is a full-time, non-exempt position. Business houses are 8 a.m. – 4:30 p.m., Monday through Friday.
