Lincolnshire, IL (population 7,900) The Village of Lincolnshire seeks an organized, customer-focused, and detail-oriented Administrative Assistant to join its Community & Economic Development Department (CED). In this role, you’ll support projects and initiatives that help shape the Village’s future. Key Responsibilities:
- Reports directly to the Assistant Village Manager/Community & Economic Development Director.
- Serves as a point of contact for residents, contractors, businesses, and development professionals, providing exceptional customer service and responding to inquiries in person, by phone, and electronically.
- Coordinates the day-to-day Building Division operations, including permit intake, plan review, permit processing, inspection scheduling, and certificate of occupancy issuance.
- Coordinates project reviews and permit processing with Village staff, the Village Engineer, third-party consultants, local fire protection districts, and other partner agencies.
- Maintains permit, inspection, licensing, and development records while ensuring accurate, organized information within the Village’s software systems.
- Prepares meeting agendas, packets, minutes, and supporting materials for advisory boards and commissions.
- Processes invoices, prepares reports, assists with departmental correspondence, processes Freedom of Information Act (FOIA) requests, and performs other duties as assigned.
- Supports special projects related to planning, zoning, economic development, community development, and other Village initiatives.
Qualifications and Conditions:
- High school diploma or equivalent and at least two years of related administrative experience, or an equivalent combination of education and experience.
- Municipal government experience is considered an asset.
- Familiarity with building permitting, planning, zoning, construction, or development processes is preferred.
- Excellent customer service, organizational, and interpersonal skills.
- Strong written and verbal communication skills, including preparing correspondence, reports, and meeting minutes.
- Ability to manage multiple priorities while maintaining accuracy, attention to detail, and confidentiality.
- Ability to exercise sound judgment, work independently, and collaborate effectively.
- International Code Council (ICC) Permit Technician Certification, or the ability to obtain it within 18 months.
- Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
- Experience with enterprise resource planning (ERP) software, particularly BS&A, is a plus.
- Successful candidate must pass a background check, credit check, and drug screen.
Salary, Benefits, and Work Hours: The salary range for this position is $58,800 – $79,900. Starting salary will be commensurate with educational and professional experience. The Village offers a competitive benefits package including paid time off; medical, dental, vision, and life insurance; and membership in the Illinois Municipal Retirement Fund (IMRF). Residency is not required. This is a full-time, non-exempt position. Business hours are 8 a.m. – 4:30 p.m., Monday through Friday.
