As a Deputy Clerk, you’ll be at the heart of our operations, providing essential administrative and clerical support to various departments. From answering inquiries and preparing documents to coordinating special events and supporting the Mayor’s office, you’ll have the chance to make a meaningful impact every day. Come join our team!

This full-time, non-exempt position performs a variety of duties: including answering phones, handling inquiries, preparing correspondence and filings, processing accounts payable, issuing permits and licenses, assisting with grant administration, attending public meetings, transcribing meeting minutes, coordinating events, and supporting the Mayor’s office. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Additionally, the selected candidate will have the unique opportunity to temporarily fulfill the responsibilities of Village Clerk. This includes attending bi-monthly evening Village Board and Committee Meetings, coordinating the compilation and posting of public meeting agendas, transcribing public meeting minutes, and processing FOIA requests. Upon the election of a Village Clerk, the Deputy Clerk will seamlessly transition to a support role for these duties.

The successful candidate must have graduated from high school plus an additional 2 years of technical training and/or an Associate’s Degree with bookkeeping or accounting coursework, plus at least 2 years of experience in an office environment, preferably in a municipal setting; or any equivalent combination of training and experience. Necessary special requirements include a Notary Public License (which may be acquired after hire), the ability to pass a criminal background check, physical and drug screen, and bondable.

Compensation and Benefits
The hiring salary range is $50,000-$60,000. Starting pay rate is dependent upon qualifications and experience. The Village of Machesney Park has a competitive benefit package which includes health, dental, vision, and life insurance, paid holidays, paid vacation, sick leave, and a retirement plan through the Illinois Municipal Retirement Fund (IMRF).
