JOB OPENING

Records Technician – Part-Time

The Plainfield Police Department is currently seeking to fill a part-time position in the Records Department.  This position will have M-F hours working approximately 30 hours a week.  With those hours being between 7:00 AM and 5:00 PM. Salary Grade:          2  (Starting pay $24.08 per hour)

 

Position Purpose

The purpose of this position is to provide general Police Records functions by performing assigned duties and tasks. Prepares, screens, routes, files, and distributes law enforcement and public safety reports and records by performing the following duties.

Principal Duties and Responsibilities

1.        Searches and retrieves information from files, computer records, and other documents in response to specific requests from local agencies.

2.        Reviews, processes and scans all documentation provided to Records to PremerOne Records Management System.

3.        Completes the annual destruction of records pursuant to the Local Records Retention Act.

4.        Receives and processes requests for reports and information under the Freedom of Information Act, determining whether the information is eligible for release, compiling the requested information, redacting exempt information, assessing proper fees, and distributing the information to the requestor.

5.        Reviews and screens solicitor permit requests for completeness and accuracy before forwarding to Command staff for approval.

6.        Receives and carries out Orders of Expungements and Record Seals issued by the court. In addition, any newly state mandated automatic expungements that are to be completed with or without a court order.

7.        Maintains logs and other records controls to assure tracking of case files

8.        Answers phone calls for the department and responds to a variety of requests for information concerning records and department functions and policies.

9.        Provides direct customer service to the public at the service window, or telephone, by staffing the service window according to scheduled hours.

10.      Receives payments of fines and fees from the public, receipts those payments, and transfers the payments to the Village Management Services Department.

11.      Assists with fingerprinting individuals as needed, utilizing the paper fingerprint cards.

12.      Assigns court dates and makes legal notifications to offenders, the Department’s Court Section, and the Will County Court.

13.      Researches, collects, analyzes, evaluates and compiles data from a variety of sources to discover patterns, trends, and changes in criminal activity.

14.      Generates various reports on crime trends and patterns while utilizing various software and databases to analyze and interpret crime data.

Scheduling

The position involves regularly scheduled hours, normally Monday through Friday.  In addition, hours may be extended in the event of emergency, disaster, employee shortage, workload, or work-in-progress.

Skills, Knowledge and Abilities

Requires skills in organization, scheduling, and written and verbal communication.  This involves use of computer hardware and software; knowledge of Department policies and procedures; ability to plan, organize, develop, and supervise specific work orders or installation of equipment.  Requires ability to prepare and maintain accurate reports and records of assigned section activity and equipment.

Physical Demands/Essential Functions

1.        Have hearing correctable to levels below 35 dB and in the 500-3,000Hz frequency range; and sight correctable to 20-20.

2.        Walk, stand or sit for long periods of time.

3.        Operate required equipment with necessary finger dexterity.

4.        Read, comprehend, and speak English and be able to demonstrate twelfth grade reading skills.

5.        Use a computer and all applicable software programs.

6.        Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to a problem.

7.        Prioritize competing demands and deal with the unexpected; Complete tasks on time or notify appropriate person of an alternate plan.

Minimum Education, Experience and Certification Requirements

Two-year certificate from college or technical school, or equivalent related experience; Knowledge of database and/or records management software and proficient with Microsoft Office software; Valid Illinois Driver’s License; and should possess or be able to obtain LEADS (Law Enforcement Agencies Data Systems) certification within the first 3 months of employment.

Starting Salary

Starting wage is dependent on experience and qualifications.  The position has a pay range of $24.08-$32.51 per hour with the anticipated starting rate being $24.08 per hour.
