Village of Winnetka
The Village of Winnetka is seeking applicants for a part-time Human Resources Assistant. This position provides administrative support for the Human Resources function by maintaining employee personnel files and medical files and ensuring compliance with the record retention policy. This position requires a high degree of confidentiality, attention to detail, the ability to exercise discretion and judgment and carry-out the Village’s policies, procedures, and programs. The Human Resources Assistant works closely with the Benefits Manager and Human Resources Manager.
Minimum Qualifications:
- Graduation from high school or GED equivalent.
- Two (2) years’ minimum recent administrative experience or comparable training and experience.
- Working knowledge of Microsoft Word, Outlook, Excel, and Acrobat Adobe; ability to learn the other software as required.
- Ability to demonstrate excellent interpersonal skills.
- Valid driver’s license.
Essential Duties:
- Assist with the administration of the Family Medical Leave Act (FMLA) by sending notices, obtaining and tracking medical records, verifying time off requests, and keeping a centralized report of all Village FMLA instances.
- Assist with recruitment initiatives, including, but not limited to, scheduling, preparing materials for interviews, and candidate correspondence.
- Maintain centralized personnel files; assist with the integration of personnel files with the New World system; and assure confidentiality and completeness of employee files and make ensure compliance with the Village record retention policy regarding employee records.
- Update database of terminated employee personnel and medical files.
- Provide internal and external customer service support, especially by referring employees to appropriate resources regarding claims, benefits, pensions, etc.
- Make copies, fax documents, and perform other clerical functions.
- File all human resources related documents in the appropriate files.
- Support the coordination of and delivery of Human Resources training programs, wellness events, and other departmental initiatives.
- Schedule meetings, interviews, and appointments as directed.
- Assist at the Village Manager’s Office front counter as a backup for the Executive Assistant/Deputy Village Clerk.
- Perform other duties as assigned.
This is a part-time position with a flexible work schedule Monday through Friday, 20 to 25 hours per week. Eligible for paid time off (Vacation, Sick, Personal hours, and Holiday pay).
Hourly Rate Range: $25.75 – $36.26, DOQ
